TO: Honorable Mayor & Members of the North Port Commission
FROM: Peter D. Lear, CPA, CGMA, City Manager
TITLE: Technology Services Agreement renewal with Sarasota County
Recommended Action
Approve the Technology Services Agreement renewal and Amendment No. 1 with Sarasota County to allow the City of North Port to continue hosting services for our servers and network equipment at the Sarasota County Data Center for a term of one (1) year and authorize the City Manager to execute any subsequent renewal term under the same terms and conditions.
Background Information
Sarasota County’s Information Technology Department provides data center hosting services to regional partners. The advantage of continuing this agreement with the County is two-fold. The cost is much less versus going with a commercial vendor and secondly, the City already has an existing fiber connection from City Hall to Sarasota County’s Data Center network.
Planning for disaster recovery is very important to ensure continuity of operations for City services. With the approval of the Technology Service Agreement, the City of North Port will have the ability to continue disaster recovery services.
The following are some examples of organizations which are using Sarasota’s data center hosting services:
• Sarasota County School Board
• Sarasota Memorial Hospital
• Sarasota County Supervisor of Elections
• Tax Collector
• Sarasota County Sheriff
• Property Appraiser
• Town of Longboat Key
This proposed renewal reflects an amendment to the existing agreement with Sarasota County. The amendment shows an annual reduction of $6,400 to the City as a result of our efforts in consolidating servers and file storage equipment at the Sarasota Data Center.
This agreement has been reviewed and approved for form and correctness by the City Attorney. Please see the attached notes from City Attorney for additional notes relevant to this contract renewal.
Strategic Plan
Maintained/Upgraded/Expanded City Infrastructure
Financial Impact
No financial impact, this amendment will result in an annual budget reduction in the amount of $6,400 with payments reducing to $1,017.65 per month for fiscal year 20 to IT’s 54-00 - Books, Publications, Subscription, and Memberships account.
Procurement
This purchase is exempt from competition per Sec. 2-403 (a) (2) of the procurement code as it is a procurement contract between the city and another government. The appropriate form has been included via attachment.
