TITLE: Utilization of Lake County Contract 16-0615EE with Ten-8 Fire Equipment, Inc. for the repair of emergency vehicles and equipment in the estimated additional amount of $75,000 in FY 2017


Recommended Action

Approve utilization of Lake County Contract 16-0615EE with Ten-8 Fire Equipment, Inc. for the repair of emergency vehicles and equipment in the estimated additional amount of $75,000 in FY 2017.

Background Information

The City of North Port Department of Public Works Fleet Division is currently utilizing Ten-8 Fire Equipment, Inc. for the repair of aerial trucks, tanker trucks and ambulances. In August of 2016, the City issued formal Request for Quotes No. 2016-54 and obtained Administrative approval for purchases up to $90,000 and awarded the work to Ten-8 Fire Equipment, Inc. This year, the cost will exceed $100,000 due to unforeseen repairs on aging equipment. Expenditures over $99,999.99 exceed the threshold allowed through the formal Request for Quote method of procurement; therefore, Fleet would like to utilize the Lake County contract as an alternative method of procurement to cover the additional $75,000 needed for the remainder of the fiscal year.

Lake County competitively bid the services for repair of their fleet in June 2016 and awarded the contract in September 2016. Fleet wishes to utilize Lake County Contract 16-0615EE with Ten-8 Fire Equipment, Inc. to cover expenses that will exceed $100,000.

The City Manager's policy requires all procurement over $100,000 be presented to Commission for consideration.
