TITLE: Discussion, and possible action to award funds from the Special Event Assistance Program to the Early Bird Kiwanis in the amount of $675.00 to cover the cost of renting the McKibben Park pavilion, garbage and recycling fees, and the cost for property maintenance services for the June16, 2018, Children’s Fishing Tournament and Clinic.
Recommended Action
Approve the Early Bird Kiwanis request for funding assistance through the Special Event Assistance Program in the amount of $675.00 to cover the cost of the cost of renting the McKibben Park pavilion, garbage and recycling fees, and the cost for property maintenance services for the June16, 2018, Children’s Fishing Tournament and Clinic.
Background Information
The Special Event Assistance Program was adopted by City Commission on November 25, 2013. The intent of the program is to encourage cultural, educational, environmental and recreational activities in the City and to help provide recovery of costs associated with City services that are needed with a special event.
The Early Bird Kiwanis is requesting funding in the amount of $675.00 to cover the total costs of City services/fees that are associated with this event. The breakdown of the costs are as follows:
• $540.00 - tables/chairs and property maintenance staff (2) staff at 9 hours each @ $30.00/per staff person
• $65.00 - (3) garbage and (3) recycling totes and container delivery
• $70.00 - Rental of McKibben Park Pavilion
The Early Bird Kiwanis Fishing Tournament and Clinic will teach children the basics of environmental stewardship, fishing ethics, angling skills, and safety. Additional activities will include poster coloring, fish tattoos, and a free hotdog lunch. The first 200 children will receive a free fishing pole and tackle box and a chance to have their picture taken with the land shark. The event will be held at the McKibben Park on June 16, 2018.
Since the program implementation, numerous clinics were held to educate the public on the special event permitting process and the special event assistance program.
To date, there have been six (6) applicants and five (5) awards totaling $2,570.00 of which $1,815.00 were used. The first applicant, The Lip Smackin’ BBQ withdrew their application for assistance due to the lack of volunteers to support the event and the event was cancelled.
The second applicant, the United Way of South Sarasota County was awarded $125.00 by Commission in 2015. After the funds were awarded, the United Way had partnered with the Sweet Heats BBQ bash and no longer needed the money for the park rental fees. United Way withdrew their request and the money was returned to the City’s budget account.
In 2016 and 2017, the American Cancer Society Relay for Life, North Port was awarded a total of $2,000.00 of which only $1,370.00 in funds was used for their events.
The United Way South Sarasota County (UWSSC) was awarded funding in the amount of $85.00 on January 24, 2017 and the People for Trees, Inc. was awarded funding in the amount of $360.00 on April 11, 2017.

Financial Impact
City Commission budgeted funds in account 001-0100-511-49-13 for Community Assistance in the current year’s budget in the amount of $9,630.00, of which $675.00 will be used for this event.
