Recommended Action

 

Approve the utilization of the City of Tallahassee Vehicle Contract #3921 to purchase one (1) new Ford F-150 for an estimated $22,761.09 and one (1) new F-550 Box Truck for an estimated $47,635.47 for an estimated grand total $70,396.56 from Beck Auto Sales, Inc.

The City of Tallahassee Vehicle Contract #3921 will be utilized to purchase one (1) new Ford F-150 Truck for the Solid Waste District of the Department of Public Works. This vehicle will be utilized by the new Solid Waste Supervisor to haul away items during daily supervisor duties, or for specific Solid Waste removal tasking.

The City of Tallahassee Vehicle Contract #3921 will be utilized to purchase one (1) new Ford F-550 Box Truck for the Solid Waste District of the Department of Public Works.  This vehicle will be utilized by staff to haul away large bulk items from residential homes such as metal and appliances.  The F-550 Box Truck provides the following benefits to the Solid Waste District:

 

Ø                     The ability to load more items into one truck.

Ø                     Minimizes the number of trips required to dispose the contents of the truck.

Ø                     Provides the maximum number of daily customer service collections. 

 

The City of Tallahassee issued a formal Request for Proposal number 0123-16-KM-RC.  The City of Tallahassee competitively solicited the services to procure certain light-duty vehicles, including associated accessories and equipment and awarded the contract on January 25, 2017.  The Fleet Management Division of the Department of Public Works proposes to utilize the City of Tallahassee Contract #3921 with Beck Auto Sales, Inc. as an approved method of procurement.

Financial Impact

 

Funding in the amount of $77,250.00 is included in the fiscal year 2019 budget, account number 120-3032-534.64-00, Project Number SW19VH.

Procurement

 

These vehicles are being procured pursuant to Section 2-403 (a) (4) a of the City Procurement Code -The utilization of other governmental or public entity contracts to procure goods and services.

 

Procurement will be made under the existing contract currently in its second year of a five-year term.  Purchase of the vehicles will be made under the same terms and conditions, with a contractually allowed price adjustment.
