Approve the WebEOC Subscription Agreement for Emergency Management Software, with ESi Acquisition, Inc., a division of Juvare LLC. in the amount of $48,970.81 over a three-year period.
Background Information
WebEOC is a proprietary software of ESi Acquisition, Inc., a division of Juvare LLC. WebEOC is a comprehensive emergency management software that organizes information exchange, resource management, and other information elements during an emergency response. This software would be utilized during an emergency activation in the Emergency Operations Center (EOC) as well as the individual Department Operating Centers (DOCs) and for City signature events to maximize the City's ability to coordinate life-saving operations and effective response measures. Since this software is also used by Sarasota County and the Florida Division of Emergency Management, the acquisition and implementation of WebEOC would improve the City's ability to request emergency resources and share information.
The following includes the annual cost and services for a three-year Contract:
1. Year One:
> Cost: $25,260
> Service: Initial setup and creation of the City's WebEOC instance
2. Year Two:
> Cost: $11,680.20
> Service: Recurring license fee
3. Year Three
> Cost: $12,030.61
> Service: Recurring license fee
Total Contract Amount: $48,970.81.
