TITLE:                     Approve Contract Amendment NPP00001.2 and Statement of Work with TeamDynamix Solutions LLC for the City of North Port Police Department to Add Additional Information Technology Service Desk Software Licenses to the City’s Original Contract for an Additional Cost of $23,820.11 Over a Three (3) Year Period.

 

 

 

Recommended Action

 

Approve Contract Amendment NPP00001.2 and Statement of Work with TeamDynamix Solutions LLC for the City of North Port Police Department to add additional Information Technology service desk software licenses to the City’s original contract for an additional cost of $23,820.11 over a three (3) year period.

 

Background Information

 

TeamDynamix Solutions LLC (TeamDynamix) is the help desk ticketing platform currently used by the City’s Information Technology Division.  The Police Department would like to replace its current antiquated system with the same platform to significantly improve its efficiency and effectiveness in managing tasks and workflows. The software would also provide the Police Department with the following benefits:

 

                     Assist with better tracking of service desk tickets and assets, and more effective project management with better documentation; and

 

                     Provide a user-friendly interface for employees and several self-service options to resolve troubleshooting issues more promptly.

 

The amendment to the original contract adds six (6) additional licenses through the remainder of the contract’s term. The Statement of Work provides the scope of services specific to the Police Department’s needs as well as an implementation timeline. The schedule of payments for the Police Department are outlined as follows:

                     Year 3                     2024-2025                                          $  3,182.70                     Due upon invoicing for the Amendment                     

Year 4                      2025-2026                                          $  3,278.18                     Due on or before December 27, 2025

The Contract Amendment and Statement of Work have been reviewed by the Interim City Attorney and are legally correct as to form.

Financial Impact

 

The Year 3 total cost of $13,982.70 will be paid from accounts 001-2100-521.31-05 ($10,800.00 Implementation Cost) and 001-2100-521.46-01 ($3,182.70 Licenses Cost). Subsequent payments of $3,278.18 and $3,376.53 for Years 4 and 5 respectively, are contingent upon budget approval.

Procurement is being made in accordance with Administrative Procurement Thresholds set forth in the Purchasing Procedures Manual.
