TITLE:                     Approve Event Agreement Between the Kiwanis Club of North Port, Inc. and the City of North Port, Florida, for a Marriage Vow Renewal Event at the Garden of the Five Senses Located at 4299 Pan American Boulevard.

 

 

Recommended Action

 

Approve Event Agreement between Kiwanis Club of North Port, Inc. and the City of North Port, Florida, for a Marriage Vow Renewal Event at the Garden of the Five Senses located at 4299 Pan American Boulevard.

 

Background Information

 

The Marriage Vow Renewal Event (Say I Do Again) was first held in 2022 at the North Port Garden of the Five Senses with 63 total couples registered. Event registration was $15 per couple, and included a group toast, gift bag, prizes, renewal certificate, and a professional photograph.  In accordance with the terms of the Agreement, event revenue was distributed evenly between the City and Kiwanis Club of North Port, Inc. after the City first reimbursed itself for all verified expenses related to the event, and then reimbursed Kiwanis for all verified expenses related to the event. 

 

The initial Agreement that was approved at the March 23, 2021, City Commission Regular Meeting for the Marriage Vow Renewal Event has expired.  As such, an updated agreement is being presented to the Commission for their consideration. The Fiscal Year 2023 event is scheduled to be held at the Garden of the Five Senses on February 12, 2023. After review, minor changes have been incorporated into the new Agreement including a reduction from two (2) ceremonies to one (1), with an automatic renewal for future event dates, not to exceed three renewal terms

 

The Event Agreement between Kiwanis Club of North Port, Inc. and the City of North Port, Florida, for a Marriage Vow Renewal Event at the Garden of the Five Senses located at 4299 Pan American Boulevard has been reviewed by the City Attorney and is legally correct as to form.

Financial Impact

 

The Fiscal Year 2022 event generated $945 in revenue, and event expenses totaled $679.45, which included event marketing, supplies and staffing. The remaining $265.55 was split between the City and Kiwanis with $132.78 applied to the City’s Youth Scholarship program and a check in the amount of $132.78 paid to Kiwanis from account number 001-3036-572-49-13.

 

Event coordinators from the City and Kiwanis estimate revenue and expenses for the Fiscal 2023 event to be consistent with the 2022 event. The City will collect all registration and related fees for the event and will be responsible for setting a registration fee that is calculated with the intent of covering all costs of the event based on a minimum enrollment.

 

Procurement

 

The Parks & Recreation Department will adhere to all Purchasing policies to procure supplies and services for this event.
