TITLE:                     Approve the KeyTrak System Purchase, Support and Software License Agreement, That Will Accompany a Budgeted Purchase in the Amount of $25,267.21, to Update and Expand Fleet’s Current Key Cabinet System.

 

 

Recommended Action

 

Approve the KeyTrak System Purchase, Support and Software License Agreement that will accompany a budgeted purchase in the amount of $25,267.21, to update and expand Fleet’s current key cabinet system.

 

Background Information

 

KeyTrak, Inc. (KeyTrak) is a sole source manufacturer of electronic key and asset management systems. The system secures keys and assets, automatically tracks who has access to them and prevents unauthorized use. It also provides reporting and 24/7 monitoring with alerts to key managerial personnel and accountability of the assets by the user.  Without this system, keys and assets not properly secured could fall into the wrong hands.

 

In coordination with the Fleet Management Division of the Department of Public Works, the City of North Port (City) purchased its current key cabinet system from KeyTrak in 2016. Among other things, the system is used by the Police department to ensure that keys are tracked and only used by designated individuals. The current system needs to be updated and expanded.

 

The purchase will include the following:

 

                     KeyTrak Edge Server

                     22” Touchscreen Monitor

                     Fingerprint and Button Reader

                     Software and networking

                     KeyTrak Edge Remote

                     Onsite Training

                     Software License

                     240 Drawer Cabinet with Key Tags

                     One Year Maintenance

 

KeyTrak will provide one half day of onsite training after delivery of the equipment. Telephone support and Remedial Maintenance Services based on Equipment Trouble Reports will be performed during the term of this Agreement, as necessary. Maintenance agreements will be required annually.

 

The upgrade has been budgeted by the Police Department. The KeyTrak System Purchase, Support and Software License Agreement is required to accompany the Purchase Order.

 

The KeyTrak System Purchase, Support and Software License Agreement has been reviewed by the City Attorney and is legally correct as to form.

Financial Impact

 

Funding in the amount of $25,267.21 has been allocated in the Fiscal Year 2024 Police Department budget, account number 001-2100-521-46-01.

 

Procurement

 

Electronic key security system support and software license services are being procured pursuant to Chapter 2 - Administration, Article VII - Procurement Section 2-407, Sole Source Guidelines of the Code of the City of North Port, Florida.
