TITLE:                     Approve the FitRev Preventative Maintenance Agreement for the Maintenance of the Police Department Fitness Equipment in the Amount of $620.00.
 
Recommended Action
 
Approve the FitRev Preventative Maintenance Agreement for the maintenance of the Police Department fitness equipment in the amount of $620.00.
 
Background Information
 
Based in Tampa, FitRev is a fitness equipment distributor that sells, repairs and services fitness equipment. Its Preventative Maintenance Agreements are designed to help preserve the equipment. The benefits of the program include:
 
1.                     Protecting the investment;
2.                     Prolonging the life of the equipment;
3.                     Keeping it running safely; and
4.                     Minimizing down time.
 
Under the Agreement, the Police Department’s fitness equipment will receive four (4) preventative maintenance services per year, which includes: mechanical inspections, lubrication, adjustments, and repair recommendations to reduce unexpected breakdowns. An interior cleaning of the mechanical compartment is included in the service along with an exterior wipe down. The fee is $155.00 per service.  FitRev also provides repair services at a discounted rate when the preventative maintenance is in place.
 
The maintenance service agreement service period begins April 1, 2024, and continues for a term of one (1) year. The first service will be scheduled at the end of the first quarter. 
 
The FitRev Agreement has been reviewed by the City Attorney and is legally correct as to form.

Financial Impact
 
Funding for the first two quarterly preventative maintenance services is available in the Police Department Budget for Fiscal Year 2023-2024, account 001-2100-521.46-01.
 
Funding for the remaining two quarterly preventative maintenance services will be budgeted by the Police Department for Fiscal Year 2024-2025, account 001-2100-521.46-01.
 
Procurement
 
Procurement of the preventative maintenance services is being made in accordance with Administrative Procurement Thresholds, section 4A, $4,999.99 or Less, set forth in the Purchasing Procedures Manual.
